What is the BackOffice?

The BackOffice is a tool that Wolfnet provides to us in order to manage leads, run reports and adjust the display of the eAgentC IDX.

How do we access the BackOffice?

  5. Select Step 4.4 - Back Office
    Login:
    Individuals – Login is the same as the KW Intranet, unless their password had punctuation or special characters within – then it defaults to ‘password’
    Market Center – Login with the entire KLRW###@kw.com email address.Sherr
    If you are setting up your solution for the first time – it’s recommend that you spend the time to explore each admin area to make sure that your information is accurate and complete.

Reports

This function will show you the number of registered users, as well as allow you to pull up all users, specific subsets of users or individual users. You can view a registered users full account details including the information that entered when they registered, a four month login history, and any saved searches or saved favorites.

NOTE: Reports only count the hits of registered users – not regular hits
This feature can be used to view customer favorites under general reporting tab.


Favorites feature allows the customer to:

  • Save listings to your Favorites folder with one click
  • Email your Favorites to your Realtor, a co-buyer, or a friend
  • Save as many Favorites as you like

City Restrictions

This gives the ability to restrict the list of cities shown on the search solution.

Things to note:

  • Moving cities from the main list to the Restricted List while Exclude is selected will remove those cities from being included in the search.
  • Moving cities from the main list to the Restricted List while Include is selected will include ONLY those cities in the search
  • Moving cities from the main list to the Missing List will remove those cities completely from the search solution.
  • Missing and Restricted (exclude) are pretty much the same thing
  • All changes will take up to 24 hours to take affect.

Email All Users

This is a global email tool where you can send information or announcements to all of your registered users or subsets of registered users. Ex (I’m having an open house

Export

This tool can be used to export your users to a tab or comma delimited file (manageable with excel) document so that they may be managed in another application.

You may pick and choose which fields to export from MLSFinder.  When you import them into the lead management tool or database, you can make the appropriate association.

User Registration Fields

You may set which fields visitors must complete when they register.  First Name, Last Name, Email Address and Password will always be required.  All others are optional.

 

Site Login Options

You have the ability to set at which point in the search process visitors are required to register. You can set forced registration at the beginning of the search, to view search results, to view address and to view listing details pages.

  1. Login Required to view address.  If enabled, addresses will only be shown when the user is logged in.
  2. Front Page Login Required  Requires login before the user enters their search criteria.
  3. Search Results Login Required   Prompts login after the user clicks 'Search'.
  4. Login Required to view details   If enabled, the detail page will only be shown when the user is logged in.
  5. Allow no. Detail Views   Number of detail pages allowed before forcing login
  6. Special Data Login Required  Enabled, prompts login when the user attempts to access special data from the detail page, such as open houses and virtual tours.

 

Contact Information

All information MUST be entered into all fields otherwise an error will result and your solution will not be activated.


NOTE: Please be sure to notify WolfNet of any changes in brokerage or billing address.
If an agent changes offices, the office ID must also be changed – Wolfnet might not be in the market, might need a new approval.

Colors

This tool allows you to adjust the colors of the search solution. You can make changes and preview how the solution would look down below.

Fonts

You can also select which font you would like to use on the solution.

Logo/Slogan

Here's where a logo can be updated to display above the search solution. In your particular market, the broker logo must display at all times above the search. You can also add a slogan to appear at the top right above the solution. The third option here is the Return To Link.  If you opt to show this, a bar will appear above the solution that will take visitors back to your website.

You may also add a picture of yourself – add the business card – add self combined with business card and logo (with photoshop or another similar program)

Virtual Tours

This tool allows you to add virtual tours to your featured listings. If you click on Virtual Tours, you’ll be taken to a list of all your featured properties. Selecting a specific listing will bring up a page with a field to paste in a virtual tour URL. The tour will display on the listing details page.

NOTE – This feature should not be used – We are working with Wolfnet to disable this on all Keller Williams BackOffices – Virtual Tours should be entered in the KWLS

 

Enhanced Listings

You can also add descriptive text to your featured listings (comments/remarks). If you click on Enhanced Listings, you’ll be taken to a list of all your featured properties. Selecting a specific listing will bring up a page with a field for you to enter additional text. The listing will appear on the listing details page.

NOTE: – We will be pushing the ‘Comments’ field from the KWLS over, so this will enhance the associates listings from the MLS – this should not need to be done via the BackOffice, rather the KWLS – Ok to edit for the time being until these changes are made

MapTracks-Starting Location

You can adjust the default starting location of the map using this tool.

Top Producer Settings

Top Producer can be used in conjunction with the WolfNet IDX search solution. This toggle will enable or disable Top Producer.

 

User ID/Password

This gives you the current username and password to access the backoffice. You can make changes to these items.

NOTE: Market Centers - that if you update the email address in your contact information will change the email address used to login to the system.

NOTE: Once the password is changed it will be different than their KW Intranet – will not synch

Registration Auto-responder

  1. Once a visitor registers on your search solution, they will automatically be sent this autoresponder. This email also instructs them on how to access their accounts.
  2. Registration Auto-responder section is how you configure the initial ‘are you sure you want to receive my email’, email
  3. Agents and MC will not be able to create any emails or global emails to registered users, unless the customer authenticates the account the created
  4. Reason for this is the ‘blacklists’ from AOL, etc. “this is what you signed up for are you sure this is what you want to sign up for”
  5. When the customer logs in a second time, after creating the account, there will be a big red alert oon the side that informs them they need to authenticate (if email is missed for some reason)

 

Quick Search Builder

THIS IS FOR ADVANCED USERS ONLY!! This tool helps to create quick searches to be incorporated into websites. You can select which search fields to be included and then hit Get Code. This will generate the code to be plugged into the site.

Can add a quick search code to any page with a WYSIWYG editor – select fields you want to include in the quick search and generate the code

 

Default Search Settings

This tool allows you to set a default price range as well as default property types. These items will automatically be set when the visitor comes to the search. They would still be able to change the search criteria.
